About the Role
As an Executive Personal Assistant, you will be responsible for providing high-quality, efficient and effective support to the Assistant Director for Schools and Learning, including arranging meetings and appointments, maintaining their diary and dealing with the collation and distribution of correspondence.
You would be expected to represent the Assistant Director to public callers, schools, his/her staff and Members, acting as the first point of contact for all matters within the responsibilities of the Assistant Director. The post-holder is also expected to ensure that the Assistant Director receives all relevant background papers and is well briefed for all meetings.
An integral part of the role will be the smooth running of the office in reviewing existing information and filing systems, both manual and electronic, ensuring that such systems are updated and maintained as appropriate, and to be able to develop the use of Microsoft products to make full use of its potential. This may include the setting up of spreadsheets, databases etc.
A significant portion of time will also be spent undertaking financial duties such as processing invoices for payment in accordance with the Council’s IT financial system and working with procurement with respect to the quality of provision, ensuring that the best value for money is obtained. A good working knowledge of finance management systems such as SAP is therefore desirable.
About You
The Schools and Learning Service ensure that the education provision in Haringey is of high quality for all pupils and young people. All teams within the Service work within the Borough Plan Priority 2 framework of ensuring that every young person, whatever their background, has a pathway to success for the future, including access to high quality education, employment, and training.
The Service is exceptionally busy throughout the year and is a challenging place to work. You will have excellent interpersonal and negotiation skills and the ability to successfully influence a variety of audiences. You will have the ability to be diplomatic, flexible and politically sensitive and able to communicate clearly and effectively at all levels– oral, written and electronic – including producing complex reports.
You will be organised, methodical and able to manage and prioritise your own workload. You will be competent with ICT packages and have a strong grasp of finance management and Social Care systems such as SAP and Mosaic.
