About the role

The purpose of this role is to support the Capital Projects and Property team Portfolio Management Office (PMO), to support the overall portfolio delivery of capital related projects.

You will be accountable for establishing stakeholder engagement across some of the key programmes of work across the business unit, along with establishing communications plans and sharing best practise across the teams.

Supporting the successful delivery a rolling portfolio of place (strategic property, corporate estate and regeneration) and people (adults, education and wider children’s) capital construction related projects with a direct delivery value of approximately £20 to 100 million capital delivery expenditure per year, including complex projects to deliver on council place and people service priorities objectives

You will be part of the Portfolio Management Team and in this role you will be accountable for stakeholder engagement and communications across the business unit, and oversight and leadership of PMO related activities across the service areas within Capital Projects and Property team.

Responsibilities and Duties

  • Work closely with the Capital Projects and Property PMO team to help deliver high quality, value for money projects using best practice tools and templates.
  • Support the delivery of people-related processes, vision and strategy.
  • Establish internal and external stakeholder engagement and communications plans for key programmes, creating materials and artefacts that can be re-used across the team.
  • Ensure the developments, achievements and successes of the each project are communicated effectively to all stakeholders- including residents, colleagues and partner organisations.
  • Set up, engage, and assist with presentation of projects to a wide audience of stakeholders on some major project of public interest within Haringey.
  • Ensure all stakeholders and interested parties receive consistent information at the same time and have a common understanding of the current status and of the overall context, including national policies and strategies and Haringey’s vision.
  • Provide guidance to the PM’s to ensure lower level comms are issued on time and with the latest information.
  • Continuous review of the processes and procedures, updating / evolving all process documentation, and circulating amongst the team
  • Holding regular training workshops with the team on stakeholder engagement and best practice, and capturing feedback
  • Providing support to key service delivery meetings, forums and events.
  • Providing support to the Senior PMO / Governance Officer for key governance meeting that they support, and delegate support when required.
  • Supporting and challenging project managers throughout the team around compliance to agreed engagement and communications policies, procedures and governance.

Qualifications and Experience

  • You will have a degree or equivalent experience in a related field and or other qualification in communications and/or marketing.
  • You will be able to demonstrate that you have experience of working in a large multi-functional organisation or business within either the public or private sector as an experienced Portfolio Management Office Manager working effectively with a wide range of teams, individuals and organisations both internally and externally.
  • You will also have excellent communication and interpersonal skills in order to establish rapport, foster relationships and develop trust, with the ability to relate to both non-technical business users and technical resources.
  • You will be able to demonstrate excellent IT skills and have the ability to produce clear and comprehensive reports and letters and demonstrate a good level of self-management and organisational skills.
  • You will have working knowledge of best practices in Portfolio Management Office functions and have experience in implementing governance roles, processes, and systems across a portfolio.
  • You will have experience of working effectively across a range of services, organisations, and local and community stakeholders to provide customer focused services and deliver objectives.
