About the Role

The primary responsibilities of this role involve welcoming all families, visitors, and callers to the centre, ensuring proper registration procedures are followed, and directing them to the appropriate areas while informing relevant personnel of their arrival. The role also includes signposting users to relevant services and answering all telephone calls, taking and logging messages, addressing general queries, and transferring calls to the appropriate staff members.

Additionally, the position requires booking visits, meetings, and events, and providing administrative support to the centre team. This includes taking bookings and collecting fees for attendance at groups, maintaining records, managing the centre’s central email system, and setting up and maintaining the Outlook system for personnel, ensuring the smooth day-to-day operation of the office. Opening and circulating post, maintaining a staff communication system, preparing reports and letters, and performing other administrative duties are also essential tasks.

Supporting staff with photocopying, binding, laminating documents, conducting regular stock checks on stationery, and ordering new supplies as needed are part of the role. The individual will also receive all deliveries, check receipts, notify personnel to collect, produce relevant publicity for the centre, display current information on notice boards, ensure daily completion of staff and children’s registers, keep attendance and visitors’ registration records, and provide data as required.

About You

The ideal candidate for this role will have a strong educational background with GCSEs at level A-C in English and Mathematics or equivalent qualifications. They should possess substantial experience in administrative functions and working with the general public. Proficiency in IT, along with excellent interpersonal, oral, and written communication skills, is essential.

The candidate should demonstrate a flexible “can-do” attitude and the ability to work effectively as part of a team while maintaining confidentiality. They must be willing to work flexible hours and be adept at organizing and prioritizing their workload efficiently. Effective and sensitive communication with families, visitors, and staff is crucial. Additionally, the ability to work in a community language will be highly beneficial.
